Your patients' health,
and your data's too.
Health data is the most heavily protected by law, and your appointment and patient-record software can't afford to go down. We set up your clinic's IT so you comply with the GDPR, lose nothing and see patients without interruptions.
The challenges a clinic faces
In healthcare, IT isn't an extra: it's patient care and strict legal compliance.
In the Vallès Oriental this landscape isn't abstract. In Mollet del Vallès, the most service-oriented of the county's five municipalities, the Hospital de Mollet serves an area of some 150,000 inhabitants, and around a hospital of that size there are always private practices, dental clinics, physiotherapy and podiatry. In La Garriga, a spa town since the Balneari Blancafort opened in 1840, that same health and wellbeing sector has a tradition of its own. This is the real setting of the area we work in, not a generic list of sectors.
Health data
The GDPR treats it as special category data: it requires more protection than any other kind. A slip-up means a serious fine.
Software can't go down
If the appointment system or patient records go down, the practice grinds to a halt and patients are left waiting.
Patient Wi-Fi
Offering Wi-Fi in the waiting room without anyone being able to reach your computers or clinical data.
Your clinic, secure and always up and running
We document everything and train your team, in plain language and without jargon.
Health data is special category data under the GDPR, and that changes three very specific things: who can open a patient record, where the backups live and whether they can really be restored, and where a camera can and can't point. The waiting room and the treatment area are not the same thing, so we place each camera where the mandatory CCTV sign allows it. Go through the rest of your obligations in our GDPR checklist for offices and clinics, and if you have specific questions about deadlines or fines, the right thing to do is to speak to a data protection specialist.
Security and health-data GDPR
Per-user access control, encryption and a log of who views each record. Documented compliance for special category data.
Backups and continuity
Daily backups and high availability so your appointment software and patient records keep working whatever happens.
Segmented network
Separate networks for administration, clinical equipment and patients, so the waiting-room Wi-Fi never touches anything sensitive.
Support that responds
Priority remote and on-site help. If your practice comes to a stop, we're on it straight away.

What people usually ask
How do I protect my patients' health data?+
Health data is special category data under the GDPR, which in practice demands more care than ordinary data: per-user access control, encryption and a log of who views each record and when. In a clinic, that means reception staff see what they need to book appointments and invoice, not necessarily the full clinical content, and every access to a record is traceable, so that if something leaks you can tell where it came from. It also matters how that data travels when the software is managed externally or there are copies somewhere else: encrypted in transit and at rest, not just protected by a password. We set it all up and document it, in line with what we explain in IT maintenance and the GDPR for businesses, so your clinic complies without it becoming an extra burden on day-to-day patient care.
What happens if the appointment or patient-record software goes down?+
A clinic can't stop: if the appointment system or patient records go down mid-morning, there are patients waiting and nobody can check an ongoing treatment. We build the system with frequent backups and redundancy for whatever is critical, so that a fault on one computer doesn't leave the whole practice without patient records, and we test those backups by actually restoring them, not just by checking that the backup job finished without errors. If the fault lies with the practice management software itself, having the records stored separately and accessible lets you keep seeing patients for the essentials while it's fixed, instead of cancelling the whole diary. The same applies if the problem is the internet connection, which is increasingly common with cloud-based appointment software: it's worth having an alternative way in. We explain this in NAS or cloud, depending on where your real point of failure is.
Can I offer Wi-Fi to patients without any risk?+
Yes, by physically separating the guest network from the administration network and the clinical equipment, so that a patient connected in the waiting room never shares a segment with the computer holding the patient records or the one that manages appointments. It's a technical separation, not just a different password: even if someone on the guest Wi-Fi tried something, they'd have no way of reaching the internal systems. It also limits what that Wi-Fi can do — browsing only, with no access to printers or other devices on the network — and stops visitors' leisure traffic from saturating the connection the clinical software needs to work. In practices with several consulting rooms, or with a connection that can't fail during opening hours, it's also worth having a backup line so you don't depend on a single provider. We cover this in backup internet for your business.
Do cameras in the clinic comply with the GDPR?+
Yes, with nuances that aren't always taken into account. We install signposted CCTV, with encrypted recording and retention limited to what's necessary, but beyond that there's a line that can't be crossed: rooms where patients are seen — consulting rooms, treatment rooms, any space where their health is discussed — must not be recorded, whereas common areas such as the entrance, the waiting room or the corridor can have a camera, with the relevant sign clearly visible. This distinction between care areas and common areas is the one most often overlooked when cameras are positioned, and the first thing we check on a visit. We also set the framing so it records entrances and not patients' faces in the waiting room any more than necessary. The information sign is mandatory and is no minor formality; we explain it in CCTV signs: what's required and how to get it right.
How long should recordings be kept?+
There's no single figure, because it depends on the type of data and the purpose, but there is a clear principle: footage is kept only for as long as it serves the purpose it was recorded for, and is then deleted. In a clinic this applies to images of common areas, which don't need to be kept for long unless there's a specific incident that justifies holding on to them. We configure the system so that deletion happens automatically by age, rather than relying on someone going in to clear out recordings every so often — which, in practice, is what happens when it isn't automated, and everything ends up piling up unchecked. We also document the retention policy, which is what you need to be able to show if anyone asks why those images are still there. We go into more detail in how long to keep CCTV recordings.
Do I need a special contract with my IT provider?+
Yes, and in a clinic it makes more sense than in almost any other business, because whoever provides your IT support works on computers that hold patient records. The GDPR calls this role a data processor and requires the relationship to be governed by a contract: what data they handle, for what purpose, what confidentiality the staff accessing your systems commit to, what security measures they apply and what happens to the data if you change provider. We often come across clinics with all their data protection paperwork reviewed but without this contract signed — precisely with the party that has the most technical access. It's one of the easiest things to fix: you ask for it, it gets signed and that's that. And be wary of a provider who seems surprised when you ask, because this contract is exactly what protects you if something goes wrong on their side. We go into detail in what an IT maintenance contract should include.
